01What this policy covers
This policy covers novabuilding.co and the Nova Building Co portal we are building for clients, subcontractors and our own staff. It explains what we collect, why we collect it, who sees it and how you get it removed. The portal is not open yet and no accounts have been issued, so the sections about it describe how it is being built rather than something you can sign in to today.
We run two specialist sites as well , Nova Roofing & Siding and Nova Kitchens & Designs. Those are separate websites with their own forms and their own policies. This one does not cover them.
02What we collect
Information you give us
- Contact and estimate forms: your name, email address, phone number, the town or property address the work is at, and whatever you tell us about the project.
- Consultations, showroom visits and site visits: measurements, notes on scope, product selections, and photos of the existing conditions.
- Text and call history: if you text or call us, we keep the thread so the next person who picks up your job knows what was already said.
- Portal accounts, when the portal opens: your name, email address, role (client, subcontractor or Nova staff), and a password stored hashed rather than as text anyone at Nova could read. No accounts exist yet.
- Subcontractor and vendor records: business name, contact, certificate of insurance, W-9 and payment details.
Information collected automatically
No analytics, advertising or visitor-tracking tools are installed on this site today. We are not building a record of who read which page. If we add analytics, this section will name the tools and what they collect before they go live.
Serving a web page at all involves a hosting provider, and hosting providers keep their own operational logs under their own terms. That is separate from anything Nova collects, and this policy will name the provider once the hosting arrangement is finalized.
Information generated by the job itself
Once you are a client, the project creates records: the signed contract and scope, permits and inspection sign-offs, material orders, change orders, schedule dates, warranty paperwork, invoices and payments, and job site photos.
03Text messages and phone calls
If you give us your mobile number and check the consent box on a form, you agree that Nova Building Co may text you about your inquiry, your estimate and your project, scheduling, crew arrival times, questions from the field, and the occasional photo of what we found once the siding came off.
- Consent to receive texts is not a condition of buying anything from us. You can request an estimate without it and we will call or email instead.
- Message frequency varies with what is happening on your job. Message and data rates may apply.
- Reply STOP to any message to stop texts. Reply HELP for help.
- Opting out of texts does not opt you out of phone calls or email, and it does not delete the messages already sent. Ask us separately if you want those handled too.
- Mobile numbers collected for texting are not sold, rented or shared with third parties for their own marketing.
We may record or keep notes from phone calls for scheduling and quality purposes. If a call is being recorded you will be told at the start of it.
04Cookies and analytics
There is no analytics package and no advertising or remarketing tag on this site as it stands. We are not measuring you, and there is nothing collected here to sell, which is worth saying plainly rather than leaving to a generic paragraph about cookies.
When the portal opens it will need functional storage, a cookie or equivalent, to keep a signed-in session attached to the right account. That is what makes a login work, and blocking it means the sign-in will not hold.
If we later add analytics or advertising tools, this section will name each tool, say what it collects and say what it is used for, and it will say so before the tool runs. Most browsers can also send a Do Not Track or Global Privacy Control signal; where the law requires us to honor it, we do.
Analytics stack: none installed. This paragraph is the place it gets named.
05The portal (not open yet)
The portal is not open. No accounts have been issued and there is nothing stored in it. This section describes how it is being built, so that the rules are on the record before anyone signs in rather than after.
When the portal opens: it will be one login with three views, and what is stored, and who can see it, will depend on the role attached to the account.
- Clients will see their own project only: schedule, selections, change orders, progress photos, invoices and payment status.
- Subcontractors will see the jobs they are assigned to: scope, drawings, site address and access notes, schedule windows, their own purchase orders and payment status, not the client's contract price and not another sub's pricing.
- Nova staff will see the projects they manage, including budget, margin and commission data. That information is internal and is not exposed to a client or subcontractor account.
- Accounts will be issued by Nova. There will be no public sign-up.
Once accounts exist: do not share your login, and tell us if you think someone else has your password so the account can be disabled. When a subcontractor stops working with us or a project closes out, the account gets deactivated and loses access to job data.
Until then, nothing about your job sits behind a login. If you need something on an active project, ask us for it directly.
06Job site photos
We photograph work in progress and finished work. It is how we document conditions behind walls, settle questions about what was installed, and show future clients real jobs instead of stock images.
Those photos show a customer's property. We treat them accordingly:
- Photos used publicly, on this site, the specialist sites, or social media, do not include your street address, house number or any document showing your name.
- We do not photograph the inside of your home outside the work area.
- If you would rather your project never appear publicly, tell us and we will mark the job internal-only. You can ask us to pull photos later, and we will, though anything already reshared by someone else is out of our hands.
- Photos kept for documentation and warranty purposes stay in the project file even if you opt out of public use.
07Who we share information with
Running a whole project under one contract means several companies touch it. Here is the full list of who sees what.
- Subcontractors and crews on your job: your name, site address, access and scheduling details, and the scope they are performing. A tile setter gets the bathroom drawings and your gate code. He does not get your financing details.
- Suppliers and fabricators: countertop templators, cabinet manufacturers and material yards get the delivery address and the specifications for what they are making or dropping.
- Design and estimating partners: the people producing takeoffs, drawings and estimates get the project information needed to produce them.
- Municipal building and code officials: permit applications and inspection records include the property owner and address, and become part of a public record maintained by the town.
- Service providers that run our software: email, project management, accounting, payment processing and text messaging. They handle data on our behalf and are not allowed to use it for anything else.
- Lenders or insurers, but only when you ask us to work with them on your claim or your financing.
- Anyone the law requires, a subpoena, a court order, or a legal claim we have to defend.
We do not sell your personal information. We do not rent it, and we do not hand your contact details to other contractors or lead brokers.
08How long we keep it
Construction records outlive the project, and they have to. If a question comes up about a flashing detail eight years from now, the photo of that flashing going in is the answer.
- Inquiries that never became a project: kept for a limited period so we know who we already talked to, then deleted on request.
- Signed contracts, change orders, permits, inspections, invoices and payment records: kept for as long as tax law, insurance requirements and New Hampshire and Maine deadlines for construction claims require, those deadlines run for years after a job is substantially complete.
- Job site photos and documentation: kept for at least the length of the warranty terms in your signed contract and of any manufacturer warranty on materials we installed.
- Portal accounts, once the portal opens: deactivated when the relationship ends; the underlying project records stay in the file under the rules above.
09Your choices, and how to ask for deletion
You can ask us to:
- Tell you what personal information we hold about you.
- Correct anything that is wrong.
- Delete your information.
- Stop marketing to you, texts, email or calls.
Send the request through Nic@novabuilding.co. Tell us which of the four you want and enough detail to find your record. We will confirm who you are before we act on it, because handing someone else's project file to the wrong person is its own privacy problem.
One honest limit: we cannot delete records we are legally required to keep, such as a signed contract, a permit filed with the town, or accounting records. If part of a deletion request cannot be honored, we will tell you exactly which part and why, and delete the rest.
Email marketing has an unsubscribe link in every message. Texts stop when you reply STOP.
10How we protect it
The site is served over HTTPS. There is no live login on it today, so there are no portal credentials to protect yet.
When the portal does open, passwords will be stored hashed rather than readable, access to project and financial data will be limited by the role on the account, and accounts will be removed when a relationship ends. Those requirements are written down before the build rather than bolted on after it.
No system is perfectly secure, and we are not going to pretend otherwise. If a breach affects your personal information, we will notify you as required by New Hampshire and Maine law.
11Children
This site is meant for adults arranging construction work. We do not knowingly collect information from anyone under 16. If you believe a child gave us information, contact us and we will remove it.
12Changes to this policy
When this policy changes, we update the date at the top of the page. If a change materially affects how we use information you already gave us, we will say so directly rather than quietly editing the text.
